Slide 1 - Slide

How to write an effective email!

All forms of letters have a particular structure, so does an email

Slide 2 - Slide

1. Use a professional email address
Which email are you more likely to open? Obviously an email with a proper address and not:
cute_dog_lover@hmail.com

Slide 3 - Slide

2. Have a simple and clear subject
The Email Subject is the first thing that anyone reads (sees?) in any email and is often one of the factors that influence the recipient to open and read the emails
Your subject line should be a small summary of the email

Slide 4 - Slide

3. Begin with a positive greeting
Start the email with a positive note.

Slide 5 - Slide

4. State the background
If you are emailing someone for the first time, introduce yourself, and state the background of the email. You need to state how you know the recipient, and why you are emailing the person.

Slide 6 - Slide

5. Provide the purpose in a crux
This is the main part of the email where you mention the core content or purpose of the email. Ensure that you write the core email content in clear short sentences.

Slide 7 - Slide

6. Mention the CTA
Every email is essentially a task list for someone. It either expects a response with some details or action from the recipient. In some cases, the recipient might have to connect you with someone who can act on the email.

Slide 8 - Slide

6. CTA (call to action)

Slide 9 - Slide

7. Add closing remarks
In addition to the CTA, add closing remarks to give that finishing touch to your email. Use simple sentences  without being too pushy.

Slide 10 - Slide

Examples
'Waiting for your positive response, to take it further'.
'Looking forward to work with you on this'.
'Feel free to call me on ######, if you need more details'.

Slide 11 - Slide

8. Use professional signatures
When you are emailing someone for the first time, use an email signature that specifies your full name, your role, and the company or brand you are associated with.

Slide 12 - Slide

Example
Sign off the email with a 'Sincerely' or 'Regards' or 'Best regards'

Slide 13 - Slide

Present vs past!
