Deciding Your Work Priorities

  • Understand your strengths and weaknesses

  • Know what your job is and what areas are considered most important

  • Identify your Key Result Areas (KRA’s)

  • Timetable your tasks – Diary / Calendar (Block book yourself)

  • Plan & Prioritise - (Eisenhower Matrix)

  • Work for short periods– Pomodoro Technique

  • Focus – multi-tasking is a myth!

  • Organise your workspace

  • Utilise tools, eg AI, MS Planner, Goblin Tools, MS Project.

Plan, Prioritise & Visualise

  • Start each day by listing all tasks you need to accomplish. A clear to-do list ensures you stay focused. What's today's frog?

  • Ticking off completed tasks helps you visualise progress.

  • Break down larger tasks into smaller, manageable steps to make them less overwhelming and easier to track.

  • Prioritise tasks based on deadlines and importance - The Eisenhower Matrix.

  • Book diary time to complete important, non-urgent tasks.

Saying No!

If someone asks you to do something – pause before replying

If no – Acknowledge them

Don’t make elaborate excuses

Take responsibility – ‘I won’t’ NOT ‘I can’t’


If it’s your boss:

  • Ask what is more important X or Y?

  • When is it needed for?

  • What do you want me to stop doing to work on this?

Tips

  • Use Time Management Tools

  • Limit personal contact - limit time or work in a quiet area

  • Telephone - screen calls, use answer-phone or avoid personal calls

  • Email - deal with at planned times

  • Single touching

  • Remove irrelevant information and try to stop it altogether

  • Procrastination - set aside time and do unpleasant tasks first

  • Break down major tasks into smaller jobs

  • Good is Good Enough

  • Know your KRA’s – say ‘no’ to tasks unrelated to these
