Guidelines


  • Be polite. You may be angry, and may have every right to be, but being rude will only put the recipient on the defensive. Your complaint is an opportunity to improve things, explain what you would like to achieve as a result of your complaint.
  • Be concise/brief. Customer service employees may receive many letters, so it's vital that you get to the point quickly.
  • Be authoritative. Being authoritative in your letter creates the right tone and lets the company know that your complaint is to be taken seriously
  • Structure your letter in a clean, correct way. A clear structure may influence how your complaint is received. So, use short sentences and try not to repeat yourself.
  • Check spelling and grammar. Incorrect spelling and grammar can negatively influence how your complaint is received.

  • Introduction
- Say you are writing to complain
  • Body
- describe what happened,
- when it happened,
- and where it happened.
  • Closing
- Explain what, if anything, you have already done to try and resolve matters.
- State what you would like to happen and when.
  • Signature
- Name and written signature.

  • Write a letter of complaint. 
  • Before writing the letter think carefully about what you want to achieve: do you want your money back? Do you want a new sweater? 
  • Make sure you structure your letter accordingly.
  • Describe the problem in enough detail for the reader to understand what's wrong.
  • Also, mention the store where you purchased the sweater and when you made the purchase.
  • Explain what you would like to see happen.
  • When concluding the letter express when you would like to hear from the person you're writing to.
