Formal and informal

Characteristics of formal texts
  • Long and complex sentences
  • Long, difficult words (irresponsible, apologise, hesitate)
  • Organised (an introduction, a body and a conclusion)
  • Grammatically correct
  • Polite 'I would like to order' instead of 'I want to order' and to the point
  • Use of proper language
  • Objective and businesslike
  • Full words, no contractions (such as you're, I'll, I'm)
  • No exclamation marks, emotional expressions and slang

Characteristics of informal texts
  • Spoken conversation, a personal tone
  • Short or incomplete sentences
  • Use of contractions (you're, couldn't, it's)
  • Use of abbreviations (a.s.a.p./as soon as possible)
  • Use of exclamation marks, figures of speech and slang
  • Emotional expressions (thoughts and feelings)

  • Sales letter
  • Request for information, reply to a request for information

  • Placing an order, order confirmation

  • Quotation
  • Letter of complaint, accepting/rejecting a complaint

Order Confirmation
Introduction 
- The reason why you're writing a letter;  thank the customer for their order. 
Body
- A description of what a customer ordered and when it will be delivered;
 If necessary, informing a customer that you are unable to supply something. In that case, offer an alternative and ask if the customer accepts it. 
Conclusion 
- Expressing hope that the customer is satisfied with their purchase and that they will come back in the future.

  • Write an order confirmation email to reply 
  • It will not be possible to have the books ready on August 15, it will take two extra days. that means that the books can be picked up on August 17,  offer some sort of compensation for the delay.
